Facility Manager

Job Description

Summary:  The Facilities Manager is responsible for the daily activities required to run, maintain, and service the Vashon Center for the Arts facilities.  This is a full-time job.

Areas of Responsibility

Management

  • Develop and implement preventive maintenance schedules, emergency procedures, safety and Risk Management policies in compliance with all company and governmental regulations.
  • Assist in the preparation of the Annual Operating Budget and recommends a capital budgets for 1-year and 5-year long-range repairs and improvements to the facility.
  • Implement and updates facility rules, regulations, policies and procedures.
  • Know and ensure all laws, codes, ordinances, policies, procedures, Risk Management, safety precautions, rules/regulations and emergency procedures are followed.
  • Acts as liaison to public utility, environmental, and energy agencies. Assist in implementation of any energy saving guidelines.
  • Ensure facility’s fire and emergency safety systems are in operating order and compliant with all codes, ordinances and laws.
  • Develop program to train all employees on Fire/Life Safety, Emergency and OSHA Procedures.
  • Investigate, analyze and resolve facility problems and complaints.
  • Identify, hire and coordinate with vendors, contractors and/or service providers.

Maintenance and Readiness (does not include theater operation)

Ensure our campus is in good working order and ready to meet the needs of our programs and guests

  • Coordinate and schedule all aspects of facility operations, including; Utility, Mechanical, Janitorial, I.T., Landscape, and Changeover.
  • Provide changeover and preparation for various rooms and spaces in support of programs, rentals and special events.
  • Identify unforeseen maintenance and readiness needs; coordinate and/or effect repair and/or replacement
  • Manage the requisition of building materials and supplies within budget guidelines.
  • Manage schedules and ongoing relationship with service providers

    • Janitorial
    • Electrical
    • Plumbing
    • HVAC
    • Fire and Safety
  • Ensure working order of office equipment and coordinates vendors for necessary repairs.

Requirements

  • Required Education: High School Diploma. A two-year or degree or equivalent trade experience is preferred.
  • Minimum of 3 years facility management experience preferred.
  • Basic computer skills
  • Working knowledge of electrical and mechanical systems.
  • Vashon residents preferred.
  • Must possess a valid Washington Driver’s License.

General Skills

  • Proficiency using a personal computer, common applications like Microsoft Office, and other standard office equipment. Training for specialized software will be made available.
  • Work independently, exercising judgment and initiative.
  • Organize and prioritize work to meet deadlines. Work effectively under pressure and/or stringent schedule and produce accurate results.
  • Work extended and/or irregular hours including nights and weekends occasionally as needed.
  • Follow oral and written instructions and communicate effectively with others in both oral and written form.
  • Carry out tasks in a reliable, productive and expedient manner and be able to adhere to strict deadlines.

Management Skills

  • Possess skills and experience in budget preparation, purchasing procedures and supervising/training personnel.

Maintenance and Readiness Skills

  • Knowledge of typical methods and techniques for cleaning and maintaining the facility equipment
  • Basic knowledge of electrical, mechanical, and plumbing systems.
  • Basic carpentry skills
  • Understand and work from general instructions, specifications, blueprints, sketches, and preventive maintenance schedules.
  • Maintain an effective working relationship with vendors, contractors, employees, patrons and others encountered in the course of employment.
  • Ability and willingness to work on ladders and operate and work on a lift.

Compensation: Salary of $62,400, paid vacation, and health benefits.

Payables & Payroll Administrator

Job Description

Under Supervision of the Finance Manager the Payables & Payroll Administrator will be responsible for accounts payable, purchasing and payroll.

    • Maintaining vendor and requisition file system
    • Review payment requests to ensure proper approvals
    • Data Entry
    • Weekly check runs
  • Purchasing
    • Manage internal purchasing requests
    • Reconcile trade and credit card accounts
    • Manage purchasing accounts
  • Payroll
    • Administer payroll using ADP
    • Data transfer QuickBooks
    • Maintaining payroll files

Requirements

Requirements:

  • Bachelor’s level degree or five years of accounting/ bookkeeping experience
  • Experience using QuickBooks software is preferred.
  • Experience using ADP or similar payroll system required.
  • General knowledge of GAAP and accrual accounting is required.
  • Knowledge of non-profit accounting preferred.
  • Vashon residents preferred.
  • Must possess a valid Washington Driver’s License and have reliable transportation.

Start Date & Compensation

Open until filled. This is a half time position that one person can fill.  The hourly rate is $20.00.  Benefits include discounts for class registration and art purchases.
